Invoices

Bill your clients from the editor chat. The AI creates the invoice on your connected payment account and emails your client a View and pay invoice button. The client pays on a secure payment page by card, bank transfer, or Link, depending on what your account allows. These are invoices you send to your clients, not bills for your own Landingsite plan.

Invoicing needs the Pro plan and a connected Stripe account, the same as selling products. New to payments? Follow Start Selling to connect Stripe first.

One clear request is enough. Include the client’s email, the amount, and what it is for:

Invoice bob@example.com $450 for the September design work.

You can include more detail in the same request:

Invoice Acme LLC, attention Bob Smith at bob@acme.com, PO 4471: $300 for design and $150 for hosting. Due in 30 days. Add a note: “Thanks for a great September.”

An invoice can have up to 20 lines, a bill-to company and address, a PO number, a service period, a short note, and a due date. Due terms can be “due on receipt”, a number of days up to 90, or a specific date.

The AI asks once for anything it cannot work out, such as a missing amount or email. It never guesses an amount or a description.

Invoice text cannot contain links, phone numbers, or email addresses. Your client can reply to the invoice email. Replies go to the website owner’s account email, even when a site member sent the invoice.

Your client gets an email from your business name with the invoice total, the due date, and a View and pay invoice button. The payment page and the PDF show the invoice number, the lines, any tax, and the amount due. The email includes a short Landingsite credit line in the footer.

Before your first invoice, ask the AI to show you a preview:

Preview the invoice email before you send it.

After an invoice is created, the AI says it is on its way until delivery is confirmed. Ask for its status at any time:

Did Bob’s invoice get delivered?

The AI remembers clients you have invoiced before, including their bill-to details and language:

Invoice Bob again, $450 for October.

Tax on invoices works the same way as tax on your store. It is worked out from your Stripe tax setup and the client’s billing address. There is nothing to add per invoice.

If automatic tax is on and a client has no billing address on file, the AI asks for it before creating the first invoice. It keeps the address for future invoices to that client.

Ask the AI to open the Invoices view, or to list invoices by client, number, or date:

Show my unpaid invoices.

Show me everything I’ve invoiced Acme this year.

Each invoice in the Invoices view has Preview email and Copy pay link. The view is part of the editor and is not a public page on your website.

Invoices send automatic reminders around the due date. You can change the schedule for one invoice or for all of them:

You sayWhat happens
”Remind him.”Sends a reminder now.
”Give him two weeks.”Pauses reminders on that invoice for two weeks.
”Stop chasing that one.”Turns off reminders for that invoice.
”Remind clients 3 days before and a week after the due date.”Changes your default schedule.
”No reminders on my invoices.”Turns off default reminders.

Reminders stop automatically once an invoice is paid, and while a bank payment is still processing.

If a client pays outside the payment page, tell the AI how they paid so the invoice is marked paid:

Bob paid invoice #7 by cheque, number 1042.

The method and reference appear on the receipt.

Partial payments are not supported. An invoice stays open at its full amount until it is paid in full. If a client paid part of it, you can pause reminders, or void the invoice and send a new one for the remaining amount.

  • Wrong amount or details: “Make it $500 instead.” The AI voids the original and sends a corrected invoice in one step. The client receives a cancellation email and a new invoice number.
  • Sent by mistake: “Void invoice #7.” The client is told the invoice is cancelled.
  • Won’t be paid: “Write off invoice #7.” The invoice is marked uncollectible, reminders stop, and the client is not emailed. It stays visible in your invoices.
  • Wrong email address: “Bob’s email is actually bob@acme.com.” The AI updates the address and resends. It can also update the address for future invoices.

A paid invoice cannot be voided. To return money, refund it from Orders. The client receives a credit note automatically.

Set up an invoice that goes out on a schedule:

Send Bob $500 on the 1st of every month for monthly bookkeeping.

Recurring invoices can repeat monthly or yearly. The AI confirms the terms before it creates the schedule. Each invoice is emailed to the client, who pays it themselves. Nothing is charged automatically.

After setup you can change it from chat:

You sayWhat happens
”Make it $600.”Changes the amount from the next invoice on.
”Skip December.”No invoice is sent for that cycle. Invoices resume after it.
”Pause it.” / “Start it again.”Pauses or resumes the schedule.
”Stop it.”Ends the schedule after the current period. Any open invoice stays payable.

The Invoices view has a Recurring invoices section. Select View invoices to see a schedule’s invoices. Next invoice shows the next send date. Select Show ended recurring invoices to include past schedules.

If your website leaves the Pro plan, recurring invoices pause on their own and resume when you return to Pro.

If automatic charging was turned on for a schedule directly in Stripe, it shows as Managed in Stripe. Change it in Stripe. Payments and refunds for it still appear in Landingsite.

There is no settings screen for invoices. Set your defaults in chat:

Make my invoices due in 30 days by default.

Add “Payment by bank transfer is preferred” to the footer of every invoice.

My clients speak Spanish.

Time reminders in America/Chicago.

You can also set one client’s language or billing details:

Bob’s invoices should be in Portuguese, billed to Acme LLC.

Ask the AI to read back your current settings before you change them:

How are my invoices set up?

  • A website can send up to 20 invoices per hour and 50 per day. Recurring invoices do not count toward this limit. If you hit it, the AI tells you which invoices went out, and you can send the rest later.
  • If you ask for an invoice with the same amount to the same client within 24 hours, the AI confirms that it is intentional before sending.
  • Send invoices through the AI, not with Send invoice in your Stripe Dashboard. Invoices sent from Stripe directly do not get Landingsite’s emails, reminders, or records.
  • If a client marks an invoice email as spam, Landingsite stops all invoice sending from that website: new invoices, reminders, and recurring invoices. Clients can still pay existing invoices, and you can still view and void them. Contact support@landingsite.ai to resolve it.
